Use Webmail or Mail Softwares? (eg. Outlook Express)

What is WebMail and how to use it?

  • Webmail is useful for people who travel overseas, or do not have access to their own PC and need to check/ send emails. Webmail is also use to change password etc... (read below)
  • Webmail function like Hotmail or Yahoo mails.
  • It is advisable to use webmail only if you do not have a email software in your PC.
  • Webmail is a web-based mail access that allows you to check your mail from the Internet anywhere in the world.
  • From the Internet Explorer address/URL bar, key in "http://webmail.yourdomainname.com" and press enter. (Eg: if your domain is 123.com, your Webmail access address is "http://webmail.123.com")
  • Enter your email address and password and click on 'logon'.
  • From there, you will be able to check emails and to send out emails.
  • Webmail works in such a way that you are accessing your mail account directly from the server.
  • Only Webmail access allows you to set some of the personal settings for your email account like changing password, info, etc because webmail is accessing your email server directly and can reflect the changes to the server.
  • Once you logout and uses other PC to login again, you will realize that the all the emails are still there. This is because the Webmail access is accessing directly to your email server.
  • Once you downloaded your mails into an Email Clients (e.g. Outlook Express), all the mails will be downloaded into your own PC. When you try to login into webmail again, you will realize that the mails are no longer there. This is because the mails are already downloaded from the server into your own PC.

I have my own email Software, do I still need to use webmail?

  • The short answer is no.
  • Email softwares allows you to retrieve all your mails from the server into your own PC. You will be able to view all the emails in your PC and emails are residing and stored in your harddisk without the need to open a web browser.
  • Examples of Email Clients are Outlook Express, Microsoft Outlook, Eudora, etc.
  • You will need to configure the email client (e.g. Incoming mail server, Outgoing mail server, etc)so that the software can retrieve the mails from the server.
  • When all your mails have been downloaded into your own PC, the email server will have no more mails. So, therefore when you login into Webmail, you see that there is no more mail.
  • Email softwares are more advisable as they store your emails in your hardisk and not the mail server, furthermore, they have more functions and much more powerful.

So what is the best time to use webmail or my own email software?

  • It depends. Most people would use their own email softwares in office. And only access webmail at overseas, when back in office, they would download all mails to their own email software.
